Overview of the course evaluation

Note: This does not concern the processes at FME and FWW.

OVGU is implementing adaptive teaching evaluation:

  • Introduction of an evaluation cycle, according to which all courses of a faculty are regularly evaluated every three semesters in an alternating system.
    + Individual evaluations beyond the scheduled evaluation cycle are possible upon request.
  • Flexibility of the evaluation through individual adjustments, e.g. additions to the questionnaire

In this way, we adapt the procedure to feedback from OVGU lecturers in order to make the evaluation more targeted and eventually increase the added value for all participants. At the same time, we are reducing the survey load for students in the area of teaching evaluation, so that in the future students will ideally only participate in one type of survey per semester. This will also reduce the load on lecturers.

As of now, you have the possibility to add up to three scale questions and up to two open questions to the questionnaire. Please use the evaluation form for this purpose. There you will find, in addition to the faculty questionnaires, a small question library that you can use. Please feel free to contact us for advises on the selection or wording of questions.

If you would like to choose a different evaluation period, you can also indicate this on the form.

Lecturers who wish to have an evaluation beyond of the faculty evaluation period outlined above, please also report this on the evaluation form.

If you would like to make use of these options, or would like to notify corrections/additional registrations (e.g. of participants), please submit the completed evaluation form at least 2 weeks prior to the evaluation period.

The online surveys for the regular course evaluation are carried out 3 weeks in June and December. You will receive the results latest two weeks after the end of the evaluation.

How is it determined which courses are to be evaluated?

The information about the courses (lecturer(s), name of the course and participants (email addresses)) will be taken from the LSF or from your feedback respectively. Only events whose data are known to us can be surveyed. In case of doubt, the Faculty Quality Officer will contact the lecturers.

Where does K33 get the contact details of the students who are to be surveyed?

We receive this information from the E-Learning courses, the register-function ("Belegliste") in the LSF, or directly from the lecturers/FQBs.

However, in order to retrieve the participant data from the E-Learning course (moodle), lecturers must ensure that1) the correct E-Learning-Link is stored in the LSF, and 2) the list of participants in their E-Learning-course are up-to-date (e.g., no participants from the prior year).

Alternatively: If lecturers have used the register-function ("Belegfunktion") in the LSF for their participants, they need to check as soon as possible but latest one month prior the evaluation period whether the data is correct.

 If participant's data cannot be drawn from those two sources, or if those data needs to be corrected; lecturers need to send the data of the course (lecturer(s), name of the course and participants (email addresses) to evaluation@ovgu.de at least one month prior to the evaluation period. Please use the excel-template for this purpose.

What happens if an online survey is not possible/desired? 

If an online evaluation using evasys is not appropriate or desired for your course, e.g. due to a very small number of participants, you are welcome to use alternative feedback methods for the evaluation of your course and document this in a brief protocol. Please note that according to the Higher Education Act, students must be allowed to evaluate each course anonymously.

What is the survey process?

The online procedure is anonymous for the students. The students receive a personalized link with randomized Tan via the evaluation system evasys by email for each course survey, which can only be used once. As a lecturer, you do not have to take any further action in this regard.

Furthermore, the teaching evaluation will be accessible for both teachers and students in the elearning portal of the OVGU (moodle). In addition to the information about the start and the intermediate status of the returns, which you will still receive by mail, you can also view essential information in the elearning portal. You do not need to set up anything else for this, as the elearning portal only serves as a viewing medium. The interface for this is your email address, which is stored in the LSF or has been reported to us. Moodle and evasys themselves do not match any further information regarding this. Students can also access the surveys via moodle.

The surveys will be open in June and December, please plan about 10-15min in one of your (synchronous) courses for the completion by the students, so the response rate can be increased. The surveys are designed in responsive web design and can be completed via mobile devices at any time. You can check the current response rate at any time in the elearning portal, and you will also be informed by e-mail about the current status.

As a lecturer, what do I do with the results?

If there is sufficient response according to the specifications in the implementation regulations of the faculties, the result reports will be sent to you within two weeks after the evaluation. Following this, we recommend that you take the opportunity to discuss the results with the students.

If you receive feedback that addresses the study program as such (e.g. concerning the curriculum) or the faculty or university, please forward these findings to the responsible offices (person responsible for the study program; Dean of Studies; Vizerector for Studies and Teaching).
